1) Provider status and compliance framework
NBCC: Somatic Collective offers NBCC credit through ACEP or Single Program pathways as stated on each course page. Programs follow the NBCC Continuing Education Provider Policy, including content, presenter qualifications, attendance verification for live programs, assessment for home study programs, document-of-completion requirements, participant complaint handling, confidentiality, and record keeping.
AASECT: When stated, courses are offered for AASECT CE credit. We comply with AASECT provider expectations, including accessibility, diversity, grievance handling, and seven-year documentation retention.
Statements and marks: When NBCC credit is offered, we publish the required NBCC approval statement and our NBCC provider number. We do not imply endorsement beyond what NBCC permits. When AASECT credit is offered, we identify provider type and the number of AASECT CE hours.
2) Audience and professional scope
Courses are designed for mental health, sexuality, and allied professionals. You are responsible for using course information within your scope of practice, your license, and applicable ethics codes.
3) Non‑discrimination, clinical standards, and independence
Equity and inclusion: We do not discriminate on any protected basis. Our learning environment is LGBTQIA+ affirming, neurodiversity affirming, kink and consensual non‑monogamy affirming, and disability inclusive.
Clinical soundness: Content addressing diagnosis, evaluation, or treatment must be consistent with well‑established theories and current professional standards. Sexual orientation change efforts are not presented as a therapeutic method.
Independence and conflicts: Educational content must be free of commercial bias. Presenters must disclose relevant financial or non‑financial relationships. Promotional activities are kept separate from education.
4) Accessibility (ADA) and accommodations
We aim to provide accessible learning. Common supports include live captions, transcripts, accessible slide formats, and alternative text for visuals.
Requesting an accommodation: Email [email protected] at least 10 days before a live event with your request. We will confirm what we can provide and the timeline. We keep accommodation details private and share only as needed to fulfill the request.
5) Registration, fees, and refunds
Registration: Register through our website or a designated platform. Registration is complete only after payment confirmation.
Fees: Prices are in USD and may change prior to purchase. Taxes may apply.
Refunds: All sales are final for on‑demand and live online programs. If we cancel a live program or there is a platform‑wide failure that prevents delivery, we will provide a rescheduled date or alternative access. If we cannot provide an alternative within a commercially reasonable timeframe, we will comply with any refund required by law.
Chargebacks: Please contact us at [email protected] to resolve billing issues before initiating a chargeback.
6) Attendance, participation, and identity verification
Live online programs: To earn credit you must attend the full scheduled instructional time; partial credit is not issued unless the course page says otherwise. We verify attendance through platform tools such as sign‑in logs, engagement checks, and time‑in‑session reports. We may require government‑issued identification or equivalent verification.
On‑demand programs (home study): To earn credit you must complete all modules and pass the post‑course quiz or assessment at or above the minimum score published on the course page. The assessment verifies completion.
Participation: Discussion boards, polls, or exercises may be required when specified in the course description.
7) Learning objectives, content areas, and presenter qualifications
Each course publishes learning objectives, content description, presenter names, and presenter qualifications.
Programs offered for NBCC credit align with NBCC content areas and presenter‑qualification categories.
Programs offered for AASECT credit align with AASECT expectations for sexuality education and clinical training.
8) Credit measurement and labeling
NBCC hours: We use "NBCC hours," "clock hours," or "CE hours" as permitted. We do not use the term CEU for NBCC credit.
On‑demand duration: For audio or video programs, credit is based on actual viewing or listening time. Text‑based programs are measured by text length. We follow NBCC credit‑measurement and assessment rules for home study.
9) Evaluations and certificates
Evaluation: Completion of a post‑event evaluation is required for CE credit.
Certificates: Certificates are issued electronically, typically within 5 business days after requirements are verified. Certificates include: provider name and contact information, course title and completion date, participant name, number of hours, an authorized signature, and our NBCC provider number when applicable.
10) Records and retention
We retain education records for seven (7) years, which satisfies AASECT’s seven‑year expectation and exceeds NBCC’s minimum. Records include:
Participant rosters and attendance logs;
Presenter qualifications and content descriptions;
Agendas, learning objectives, handouts, and materials;
Program marketing and promotional materials;
Participant evaluations and certificate issuance logs.
Records are stored securely and are available to NBCC or AASECT upon request for compliance review.
11) Grievances and complaint handling
How to submit: Email [email protected] with your name, course title and date, and a clear description of the concern. We acknowledge within 5 business days and aim to resolve within 15 business days.
Appeal: If you are not satisfied, you may request review by the Program Director at [email protected].
External bodies: We report to NBCC complaint matters that relate to NBCC Policy requirements. AASECT does not arbitrate business‑practice complaints, but may review CE‑program concerns.
We do not retaliate against a participant for submitting a good‑faith grievance.
12) Cosponsorships
Cosponsored programs must be preapproved when required and clearly identify roles and responsibilities. Where NBCC credit is offered for a cosponsored live program, we include the NBCC‑approved cosponsorship statement and all required certificate elements.
13) Data privacy
We handle personal information as described in our Privacy Policy at privacy.somaticcollective.com. We keep participant information confidential and secure, and we limit disclosures to what is necessary to operate the course, issue credit, or comply with law or accrediting‑body audits.
14) Updates
We may update these Policies to reflect accreditor or legal changes. The current version will always be posted with the effective date above.
